Universities / AI administrator
AI administrator for universities
One assistant, four roles: answers applicants around the clock, gives the rector a picture of admissions, shows vice-rectors what is missing on the website and helps students after enrolment. Works only with verified university data and makes nothing up.

AI administrator · five voiced languages
Answers international applicants in their own language — 24/7
International applicants write from other time zones. A request left unanswered for a few hours often goes to another university. The AI administrator answers at once — in the applicant’s language, from data approved by the international office, and hands complex cases to staff.

What it does
Admissions office
Answers applicants 24/7 on the website, in Telegram, Viber (where parents are) and by email: entry scores, fees, funded places, documents, dormitories. Hands complex questions to a staff member with the full conversation history.
Rector
On request, sums up admissions: how many applications and for which programmes, how this compares with last year, where most questions come from.
Vice-rectors
Shows what is missing on the website — questions applicants could not find answers to — and drafts texts to add.
Students
After enrolment, answers students at once: timetable, academic debts, certificates, dormitory, scholarship. Shorter queues at the dean’s office.
Already working elsewhere
In May 2025 the University of Cape Town (South Africa) moved its applicant chatbot UCT CARES, running since 2021, to artificial intelligence. Results for the first 90 days after the upgrade:

How we launch
- We collect verified university data: programmes, fees, entry requirements, admission rules, contacts.
- We set up answers and hand-over rules together with the admissions office.
- We connect the website, Telegram, Viber and email, and train staff.
- During the first month we review conversations weekly and refine the answers.
Honest limitations
- The AI administrator answers only from data confirmed by the university. If there is no answer, it says so and hands the question to a person.
- It does not submit applications for applicants and makes no decisions — the admissions office does.
- Applicants always see that they are talking to an AI assistant, not a staff member.
What we need from you — besides the budget
We do most of the work. Little is needed from the university, and it is better to know it in advance.
- One contact person to approve texts and answers — 1–2 hours a week.
- A contract; for a public university in Ukraine, publication in Prozorro (done by your accountant).
- Data: programmes, fees, entry scores, admission rules, dormitories, contacts. Most of it is already on your website — we collect it, you only check.
- Approval of standard answers before launch — 2–3 hours of the dean’s or admissions office.
- Website access for the widget, or one line of code your IT specialist adds.
- A staff member the AI hands complex questions to — the person who answers them today.
- Approved questions and answers for international applicants: fees, documents, visa, deadlines. Prepared by the international office — the 20 working days start from that day.
- A list of your applicants’ countries — we choose the languages for them.
- The ad budget — you pay ad platforms directly.
- Access to your ad accounts, or consent for us to create them for the university.
- Materials: campus photos, student testimonials, under-enrolled programmes.
- For student ambassadors — 5–10 students and a coordinator from the university.
Everything else — setup, texts, launch, reports — we do.
